Grant Submission Checklist

Please note that this checklist was put together with NIH grants in mind. Other grant sources may require different procedures.

  1. Alert the Grants Office (Greenberg Hall, SC1-81, ext. 38822) that your PI is applying for a grant and the deadline it's set for.

  2. Inform Ralph Maldari, Administrative & Academic Coordinator, of the grant and the deadline. You should use the Grant Notification Form to do this.

  3. Make sure that all pertinent forms (ie. IACUC) are up to date.

  4. Budget

  5. Get personnel, percent efforts, and all other budget numbers from the PI.
    Go over the budget with grants office.
    Clear any changes suggested by the grants office with the PI.

  6. Collect biosketches from all key personnel. This is also a good opportunity to get everyone's signature on the NYUMC financial disclosure forms.

  7. Complete the Abstract page.

  8. Complete the Resources page. You may just be able to update an old version of this page.

  9. Complete the cover page.

  10. Get all necessary signatures on the forms:

  11. NYUMC Transmittal form (PI and Department Head)
    NIH Face Page (PI and Grants Office)
    Recombinant DNA form (if necessary)
    Consortium (if necessary)
    Indirect Cost Rate Exception (if necessary)

  12. Complete the Checklist page.

  13. Number all pages and complete the Table of Contents.

  14. Assemble the entire grant and make the required number of copies to be mailed. Make extra copies of the completed grant for the files:

  15. Grants office
    Skirball Finance department
    PI's department (if necessary
    Your files and/or PI's files

  16. Mail the grant according to the instructions given by the granting institution.
